Report from the Budget
& Finance Committee Jane McNaughton, chair of the Budget and Finance Committee presented the FY 2002-2003 Financial Review at the SASFAA Board Meeting on February 14, 2004, in Birmingham, Alabama. Ken Player, retired member of SASFAA, from Columbia, South Caroline, performed the review. The review is conducted in accordance with SASFAA’s Policy and Procedures. Jane would like to thank Terry Bland from MOHELA and Terri Parchment from EdAmerica who helped with daily receipt balancing at the SASFAA Conference in Birmingham. Terry and Terri are members of the 2003-2004 Budget and Finance Committee. Thanks also to thank Lester McKenzie, SASFAA Treasurer, for his hard work prior to and during the SASFAA Conference in Birmingham. SASFAA’s new website hosted by ATAC and the new procedure of taking credit cards for conference payments helped contribute to a smooth registration process. Report from the Sponsorship Committee With over half the year now behind us, the support of our colleagues in the business sector in providing sponsorship for SASFAA activities has been outstanding. As of the end of February, we had exceeded our budget target by 11%. The annual conference in Birmingham was a big success with 48 different
sponsors sharing their products and services with our members. The
large size of the exhibit hall in Birmingham afforded us the luxury
of spreading out the exhibitors’ booths and including a large
area with tables and chairs for the members to sit and chat with friends
and colleagues. Many attendees commented that they enjoyed being able
to sit comfortably in the vendor exhibit area. Most of the morning
and afternoon breaks were also held in the exhibit hall. Special thanks
go out to Jackie Bell of USA Funds who assisted with the vendor area
set-up, teardown, and vendor give-aways. |

We were also proud of the fact that in lieu of our usual token gifts
to our vendors, that we took that money and awarded a $750 scholarship
to a local Birmingham area student who participated in our FAFSA workshop.
Our vendor colleagues were most appreciative of our decision.
Future SASFAA events for which sponsorship will be sought include both the New Aid Officer’s workshop in June in Tampa, and the Mid-Level Financial Aid Administrator’s Workshop at Milsaps College in Mississippi. Our sponsors continue to demonstrate their support of SASFAA and our goals. Please take a moment and express your appreciation for all that they do for us. Report from Site Selection Committee Four hotels were visited following contact with three cities in Tennessee regarding the 2007 SASFAA Annual Meeting. Three hotels submitted proposals that were reviewed with the SASFAA Executive Board on February 14, 2004. After review the Board approved for a final contract to be negotiated with the Nashville Renaissance Hotel for the available dates of February 11-14, 2007. The Site Selection subcommittee met Monday, February 16, 2004 to review Site Selection Checklists for the following meetings: Annual Meeting, New Aid Officer’s Workshop, Management Institute, Executive Board Transition Meeting, Executive Board meetings and Committee meetings. These documents will be recommended for inclusion in the SASFAA Policies and Procedures Manual. Yet to be developed is a checklist for the Mid-Level Workshop. The Site Selection Chair recommended negotiations for Executive Board meetings be concluded on an earlier timetable in order to secure competitive rates and preferred dates. Committee meetings that are required (i.e., nominations) should also be negotiated more in advance for the same reasons. The committee continues to work on the development of a pro-forma contract
for the Annual Meeting. |
