Long Range Planning Committee Report

Notice: The Long Range Plan (July 1, 2006 to June
30, 2010) , as revised and approved in November 2004, is now available
on the SASFAA website at www.sasfaa.org.
The Long Range Planning Committee met on October 15 and 16, 2004,
in Nashville, Tennessee to review the Long Range Plan, which was due
to expire on June 30, 2006. The committee met again on February 14,
2005, in Atlanta, Georgia. President Sain had tasked the committee,
under the auspices of the Special Projects Committee, chaired by Carol
Mowbray, Northern Virginia Community College, to review and propose
updates to the existing Long Range Plan.
Toward this end, the committee reviewed the following state long-range
plans—Georgia, Kentucky, South Carolina, Virginia and Tennessee—from
the region. Other states within SASFAA are working towards drafting
a long-range plan. The committee also contacted all other regional
associations for a copy of their long-range plan. The committee reviewed
NASFAA’s strategic long-range plan and document, A Scan
of our Changing Environment, 2004-2005.
The committee analyzed, reviewed and proposed changes to the current
LRP to be used as a baseline for moving the plan forward for approval
no later than June 2006. The changes in language were meant to eliminate
redundancy, address omissions, and make the goals more explicit and
the objectives more concrete. The SASFAA Board of Directors approved
the revisions to the Long Range Plan on November 7, 2004 in Jacksonville,
Florida.
As a result of its discussions and review, the LRP committee proposed
the following additional related activities be undertaken by SASFAA.

SASFAA should develop a survey of the membership
by February 2005. Optimally, in the future, this survey should take
place two years prior to the effective date of the LRP plan in order
to use the results as part of the long-range planning process. (approved
February 2005)
- SASFAA should hold a retreat to consider environmental factors,
the results of the membership survey and other issues which will better
position the Association in the next five-year cycle. This retreat
should include members of the Board of Directors and other identified
leaders within the Association who have served SASFAA and who are
being recruited to serve the Association. It is recommended that a
professional facilitator lead such a retreat. (approved
November 2004)
- There are values, such as diversity, embedded in the current LRP,
which the committee thinks would be better reflected in CORE values
of the Association. It is recommended that SASFAA identify its core
values and add this information to the LRP. (approved
November 2004)
- The committee will write a brief history of SASFAA’s long-range
planning development for inclusion in the long-range plan, which will
serve to provide a point of reference and the context of its development.

- The LRP committee recommends that the Governance and Planning Committee
report should be integrated into each President-elect’s planning
cycle. Thus, the format and timing must be strengthened. The LRP will
propose a model for committee chairs to use to monitor goals in relationship
to those in the LRP and to track outcomes and next steps. (approved
November 2004)
At the SASFAA Board of Directors meeting held on Saturday, February
12, 2005, the draft membership survey was reviewed and changes suggested.
A retreat to be scheduled during the 2005-2006 was approved by the
Board of Directors.

Membership Survey
Based on the recommendations of the Long Range Planning committee,
the SASFAA Board of Directors approved the development of a membership
survey. The results will be used in analyzing services and programs
sponsored by SASFAA and in consideration of the development of the
Association’s Long Range Planning. The membership survey will
be distributed electronically during March 2005. Please take a few
moments to complete and return the survey. It should take no longer
than 5 to 10 minutes to complete.

SASFAA Board Plans Retreat
The SASFAA Board of Directors approved its first strategic planning
retreat. SASFAA will hold a planning retreat during the 2005-2006
Associational year. Details on participants, agenda and location will
be forthcoming. The focus of the Retreat is to identify factors that
will better help the Association position itself to meet members’
needs in its future planning. More information will be forthcoming
as plans for this special event are finalized.
